You walk down the corridor looking for an empty meeting room. One door is shut, another room is empty but still marked as booked in Outlook, and somebody has already taken the room you reserved because they couldn’t see the calendar outside. Multiply that across 8 or 10 rooms in a DIFC, JLT or DMCC office and the problem isn’t the meeting software. It’s knowing which room is actually available.
The Yealink RoomPanel puts that information at the door. An 8-inch touchscreen displays the Microsoft Teams room schedule, upcoming meeting information and current availability. Staff can check a booking before entering or reserve an available room directly from the panel. Full RGB LED bars run along the sides, so you can see room status while you’re still walking down the corridor rather than standing in front of the screen.

The Room Booking Problem Is Usually Outside the Door
Most Dubai companies already have Microsoft 365 calendars. What they’re missing is a physical indication of what’s happening at each meeting room. A booking buried inside Outlook doesn’t help somebody standing in the corridor with a client. The RoomPanel brings the calendar to the actual room entrance.
The screen shows scheduled meeting information and current room availability from Microsoft Teams or Outlook 365 calendaring. If the room is available, an ad-hoc meeting can be reserved from the panel itself. No need to walk back to a desk, open Outlook, search the room list and then return.
See Room Status Before You Reach the Door
Full RGB LED bars provide a visible room-status indication around the panel. In a corridor with several glass-partition meeting rooms, staff don’t have to stop and read every screen. The status indication can be seen from an angle while approaching the room.
Book the Empty Room on the Spot
When a room is available, staff can reserve it directly from the 8-inch touchscreen. That’s useful for short calls that weren’t planned in advance — a 15-minute supplier discussion, an interview running over, or a client who arrives early.
For companies building out several meeting spaces, the RoomPanel sits naturally alongside the wider Yealink Microsoft Teams room range. It doesn’t replace the room’s camera, touch console or conferencing system. It does one job outside the room: show the schedule and give staff a place to interact with the booking.
Ghost Bookings — Where RoomSensor Changes the Setup
The irritating case isn’t a room that somebody forgot to book. It’s the opposite. Outlook says the room is occupied from 10AM to 11AM, but at 10:20 nobody has turned up. The door stays empty while another team is hunting for space.
The RoomPanel can pair with a Yealink RoomSensor over Bluetooth. When the sensor detects participants entering the room, the system can support automatic check-in. If the detected occupancy doesn’t match the status shown on the scheduling panel, the RoomPanel can display a notification about that mismatch.
Useful in Multi-Room Dubai Offices
A two-room office may not need occupancy sensing. A floor with 12 rooms is different. When meetings are booked back-to-back through the day, physical occupancy information helps the scheduling system reflect what’s happening inside the room rather than relying only on the calendar entry.
Where to Mount the Yealink RoomPanel
Glass walls are normal in Business Bay, DIFC and JLT offices, so a scheduling panel can’t assume there’s a block wall and electrical box beside every door. The RoomPanel supports mounting on glass and wood as well as installation over a 2-gang US electrical box. Yealink also provides mounting choices for a flat position or a 20-degree tilted position.
The recommended installation height is approximately 1.4 metres. That matters because the RoomPanel contains a proximity sensor designed to wake the display when somebody approaches. Mounting it unusually high or low can reduce how effectively that detection works.
With a vertical 0-degree bracket, Yealink specifies person detection at less than 0.8 metres from the panel with an approximately ±20-degree detection angle. With the 20-degree angled bracket, the stated detection distance is less than 0.7 metres with the same approximate ±20-degree angle.
The ambient light sensor handles another small detail that matters once you have panels installed across an entire floor. Screen brightness can adapt to surrounding light rather than leaving every display running at one fixed brightness throughout the day.
PoE, Wi-Fi and Cabling — Plan This Before the Glass Goes Up
For a new fit-out, the clean installation is usually one network cable to each meeting-room entrance. The RoomPanel supports IEEE 802.3af Power over Ethernet, so the same Ethernet connection can carry network traffic and power. No visible 12V adaptor beside the door. No extra socket at shoulder height.
Where Ethernet can’t be brought to the panel position, the RoomPanel also supports 2×2 MIMO 802.11a/b/g/n/ac Wi-Fi and can be powered from a 12V adaptor. That’s useful in existing glass-partition offices where opening the finished ceiling just to add one data point doesn’t make sense.
For a multi-room rollout, we normally decide PoE versus Wi-Fi before mounting anything. A ten-room floor is easier to manage when the network design is consistent. The broader room scheduling panel range can then be planned around the same door positions, network points and room naming convention.

For Microsoft Teams deployments, the RoomPanel is designed as a dedicated room-scheduling device rather than a general-purpose tablet stuck beside the door. Meeting information scheduled through Teams or Outlook 365 appears at the room entrance, with on-panel booking available when the room is free.
IT administrators can monitor and manage deployed RoomPanel devices through Microsoft Teams Admin Center or Yealink Management Cloud Service. That becomes more important at 10, 20 or 50 rooms than it is at one. The IT team gets a central management route instead of walking from floor to floor every time a panel needs attention.
Yealink RoomPanel UAE projects can be supplied and installed across Dubai, Abu Dhabi, Sharjah and the other UAE emirates. Not the right fit?
Don’t buy a RoomPanel expecting it to run the video meeting inside the room. It is a scheduling display mounted outside the meeting space. The camera, microphones, speakers and meeting controller inside the room are separate. What the RoomPanel Does Not Do
The RoomPanel isn’t the controller you use to start the video call inside the meeting room. It doesn’t become the room camera, microphone or speaker, and a visitor doesn’t plug a laptop into it for BYOD conferencing. Its position is outside the door. Scheduling, availability, check-in and room status.
That distinction matters when you’re ordering a complete room. A Microsoft Teams room may have a MeetingBar or MVC system inside, a touch controller on the table and the RoomPanel outside. Each device has a different job. Trying to use one product for all three usually ends with the wrong hardware in the wrong place.
BYOD and wireless presentation?
Not through the RoomPanel. If a guest needs to share a laptop screen or use the room camera and microphones from their own meeting app, that function belongs to the equipment inside the room. See our wireless presentation and BYOD range for the hardware used for that job.
Does It Connect to an Etisalat, du or Office PABX?
No SIP extension is required for normal RoomPanel operation. The panel is a room-scheduling endpoint tied to the meeting-room calendar, not an office telephone. It doesn’t register to a Grandstream UCM, 3CX, Yeastar or Avaya system just to display the room booking.
Your Etisalat or du voice service can carry on working independently through the office PBX and the phones already on desks. The RoomPanel deals with room scheduling through the Microsoft environment. Keeping those two systems separate also makes fault finding easier: if the office telephone line has a problem, the room calendar doesn’t suddenly disappear from the corridor.
Where a project includes desk phones as well as meeting-room scheduling, the same fit-out can include the Yealink IP phone range. We configure the phone system and meeting-room devices as separate services during the UAE installation.
What’s in the RoomPanel Box?
The exact carton contents should always be checked against the shipment before a multi-room installation, especially when brackets have been ordered for a particular wall finish. The RoomPanel is designed for wall, glass and electrical-box mounting, with the mounting hardware selected around the installation position.
Before we schedule an installation, we normally confirm four things: how many rooms are being fitted, whether each door has glass or solid wall beside it, whether PoE is available at each position, and how the rooms are named in Microsoft 365. Those details prevent the common problem where 12 panels arrive but three rooms have nowhere clean to take a network cable.
Not included — order separately if your project needs it
PoE network switch, new Cat6 cabling, room video system, meeting-room display, table controller and Yealink RoomSensor. These depend on the existing office infrastructure. Installation Across Dubai and Abu Dhabi
A RoomPanel installation looks simple until the office has glass doors, finished ceilings and no network point beside the room entrance. That’s normal in Dubai. The hardware is small. Getting 10 panels mounted at the same height, connected to the correct room accounts and labelled correctly is where the project work sits.

Room list — Match every physical meeting room to its Microsoft 365 resource account. “Boardroom 1” and “Boardroom 01” may look similar on a spreadsheet. They’re not the same account.

Mount and network — Position the panel beside the door, normally around the recommended 1.4-metre height, then connect through PoE or the agreed Wi-Fi and power arrangement.

Calendar test — Create a test reservation, confirm it appears on the correct panel, make an on-panel booking and check that the room status changes correctly.

What to Install With the RoomPanel
The RoomPanel makes more sense when it is planned as part of the room rather than bought after the AV installation is finished. A small Teams room might need one video bar inside and one scheduling panel outside. A larger boardroom may use an MVC kit with separate camera and room audio. Same booking concept. Different hardware inside.
MeetingBar for Smaller Rooms
Pair the door-side RoomPanel with a Yealink MeetingBar inside a focus room or standard meeting room. The panel handles the booking. The MeetingBar handles the call.
MVC Systems for Larger Teams Rooms
For rooms needing a Windows-based Microsoft Teams setup with separate cameras and audio hardware, use the RoomPanel outside with an MVC Microsoft Teams Room system inside.
RoomSensor for Occupancy Information
Add a RoomSensor where ghost bookings are a real operational problem. A six-room office that rarely reaches capacity may not need one in every space. A busy 20-room corporate floor is another story.

Where RoomPanel Makes Sense by Industry
Professional-services offices are an obvious fit. Legal, finance and consulting teams may have six people competing for three meeting rooms through the morning. A visible status panel stops staff opening doors halfway through a client call just to see whether the room is occupied.
Shared corporate floors have a different problem. The room belongs to nobody, which means everybody books it. When Outlook says a meeting space is busy but the lights are off and the chairs haven’t moved for 30 minutes, occupancy sensing becomes useful.
Training centres, clinics and multi-department offices can use the same door-side scheduling approach. The panel isn’t tied to one room size. A four-seat focus room and a 16-seat boardroom can both use an 8-inch RoomPanel outside because the calendar function is the same.

For an existing office with no data point beside the door, Wi-Fi with the appropriate power connection may be the cleaner route.
Can RoomPanel stop ghost bookings automatically?
The RoomPanel can work with Yealink RoomSensor for occupancy-aware functions such as detecting whether people are actually present and supporting automatic check-in. The exact booking behaviour depends on the room-account and scheduling configuration, so we test it against the customer’s Microsoft environment during deployment.
Does RoomPanel connect to our Etisalat or du PABX?
It doesn’t need to. RoomPanel is a meeting-room scheduling device, not a SIP desk phone. Your Etisalat or du voice service and office PABX continue separately while RoomPanel works with the room’s Microsoft Teams and Outlook 365 calendar setup.
